1  General Discussion / Admins 4 Admins / Re: Brit Eng engineering term? on: December 05, 2002, 08:42:21 pm
To those who replied - many thanks!

I don't know exactly what a sewer chimmney is either or why she needs the British equivalent (a class maybe?),  but I think this will give her several ideas, and a website to look at!

I knew I could count on you all to come through!

Hi..

A colleague asked me if I could find out the answer to her civil engineering vocabulary question:

What is the British equivalent of the US term "sewer chimney"??

Can anyone help me out?

Many thanks!

3  General Discussion / Admins 4 Admins / Holiday website needed on: September 12, 2002, 05:28:41 pm
A coworker just came and asked me if there was a website that listed official and unofficial holidays like  National Pickle Week or Quilters Day or Left Handed Brother in Law's month or whatever.... the ones that are a little off beat...

I am sure that there is a website out there, but I am swamped the rest of the day and tomorrow and can't go digging around, and she is looking for something by this weekend.

Can anyone help?
Thanks!

4  General Discussion / Admins 4 Admins / Re: DESK MANUAL on: July 30, 2002, 08:48:27 pm
Thanks for the article on the Desk Manual!!
The article is well timed for me, as I am just starting to revise my manual ...     I have lots of helpful information in it, but at this point I think I am the only one that can find anything.....
So I am trying to figure out how to organize it so it will be more helpful to bossie or the other admin should they need it for something....   especially if something unexpected should happen to me. . .
And I keep thinking of more things to add because I know that some of the little details about what I do are found in my head.... and that is not too reliable!   Or helpful to anyone else...     So, the manual is getting pretty thick...   (and it isn't helpful to have 20 pages under "procedures" -- it started out 2 years with about 4 pages...)

I just keep adding information. . . .       (As I think of things I handwrite in the additions or different procedures or whatever, and then add the revisions later on the computer and run a new copy of the section where I made changes...)..   Then I put a footer at the bottom with the name of the computer file and the date it was last revised.

The article is giving me some ideas and energy to get working on it!  So- thanks!

5  General Discussion / Admins 4 Admins / Re: Should I supervise? on: May 24, 2002, 03:29:01 am
Thanks to those who resopnded to my question about supervision.

After talking to my supervisor, and to the manager who has been the person supervising the other admin, we decided that we would keep the structure as it is, and I would not take on the supervision of the other admin.
I found your quesitons and comments helpful and used them as the basis for my conversation with my supervisor.

You all are the best!

6  General Discussion / Admins 4 Admins / Should I supervise? on: May 22, 2002, 05:43:35 pm
I work for a non profit, and 2 of us provide admin support.  I do projects and support the CEO (and CFO occasionally), and the other person supports the 4 managers.     The other admin recently resigned and management is looking at the position.

One suggested change is that I be the supervisor for the other admin (rather than one of the managers being the supervisor, which is how it has been done).   At my weekly meeting tomorrow with my supervisor, we will be discussing this.
What should I be thinking about, or what questions should I ask?   Does it make sense that in such a small office that one person supervises the other?

We are also hoping to do a bit more job sharing (or at least cross train enough to back one other up to cover vacations, etc).  I am usually swamped, and the other position has not been as busy.

I have not been a supervisor before, and haven't really wanted to do it (I deal with paper much better than I deal with people....).  I know that it could be a good experience, but I am not really looking for experience for future opportunities or something to put on my resume (this will probably be my last job).
I am pretty sure that my supervisor will encourage me to do it.

Thanks for any advice...

7  General Discussion / Admins 4 Admins / Re: Project Management? on: April 20, 2002, 12:10:18 am
Bethalize..

Thanks for the reply.    I took an initial look at a few of the sites and will look more next week.  There is some helpful info there...

My involvement won't be very specific on the project once we get a project manager (which hopefully will be soon), and I am assuming he/she will get into the detail part of following through with quality, legalities, etc.         Bossie is not expecting me to be a project manager.

My responsibility will be to help the management group with the tracking of the different aspects in the broad view.     The renovation piece plus other aspects that wouldn't be solely the project manager's responsibility.
e.g. keeping communication with users of our builidng (folks using our services, plus some space we have for tenants renting part of the building)
e.g. we have committees that may want/need input into some of the decisions at various times during the process and it is the management group's responsibility to prioritize what might be done, and give that to a project manager to work with...

Don't know if this makes sense or not...

I'm looking for some advice, and you smart folks (note, I did not say ladies, I know that there is a mixed group here) are the ones to come to...

I am the Assistant to the CEO of a non-profit, which includes being secretary to the top management group.   We are looking at a major renovation of our facility over the next few years.    At the moment we do not have a project manager, but will be hiring one in the future.   (The renovations are still in the early planning stages for now).

Currently the management group is coordinating what needs to happen at this point, and my CEO asked me to think about how to organize a way to track what needs to be done, by whom, targeted dates, etc.....        Once a project manager is hired, he/she will be knowledgeable about how to organize the project (and probably be used to working with a particular program, etc), but until then, it is up to me/us.

Any suggestions for me?
Just design my own spreadsheet, and add to it as needed until someone else takes it over?
Is there some simple program that would be helpful that wouldn't be difficult to learn?  (I am already overextended with my current tasks, so don't have lots of time to learn something, esp since the odds of my using it again in the near future are pretty slim).  BTW, I am a die-hard Word Perfect user, with minimal knowledge of Word, Access, etc. to do what I need to, but nothing fancy.....

Any suggestions for general categories we should be thinking of to include in the tracking of these early stages?

Sorry about the wordiness of the message...

Thanks for any help you can give.

Annie

10  General Discussion / Admins 4 Admins / Re: so what's YOUR job title? on: August 13, 2001, 10:18:17 pm
Just changed from "Secretary to President" to "Executive Assistant".   And the change probably prompted by the person that works with the next lower level of managers than I do (I support the CEO). She just started calling herself Admin Assistant (used to be Admin Secretary) without telling anyone, just put it on correspondence.... so it seemed that my title should change.

A bit misleading for both of us because we don't get too involved in budgets or supervisory aspect or other activities that Admin or Exec Assistants usually do.  Our jobs are more in the line of organizational and clerical support for projects, etc.
