Our office space is open, no privacy for phone conversations or conference calls. :-) we merged with another company a few years ago and to say the least the cultures have clashed. The other companies culture is very abrasive and although we bought them, the personnel have a very demanding, rude, unprofessional attitude towards our employees.
My boss has a few reporting to him now, and for the most part, they are respectful. However, not long ago, a few were in for a meeting. My bosses were traveling. At one point during the day, it was brought to my attention someone was in my bosses office. Who enters a SR executives office when they are out, without asking permission? I found it rude and out of line and asked the person to leave immediately and locked the door. The other assistant in the office has a master key and had let him in. I have made it clear to her this is not acceptable. If visitors are in and need to use the phone, they need to duck into a conf room or step outside and take the call on their cell. What are your thoughts on this?

Definitely not acceptable! And shame on the assistant admin for letting them in! I think you handled it appropriately... and hopefully more stringent actions won't be necessary.

Master keys - the bane of office security!
The other assistant needs to be refreshed on the proper and responsible usage of a master key. A master key is something I think of in terms of "emergency only" usage. Not "for everyone's convenience" usage. And if she doesn't get on board, she needs to have that master key taken away from her.

Happened again. Found out she let them in to conduct a conf call while I was out.

I would definitely escalate it. Perhaps your boss would like to have a chat with her directly?

I would definitely confront her and ask her if she monitored them while they were in the office or if she left them unsupervised in a controlled office?  Perhaps she is not thinking properly about the security of the office and possible materials therein. But definitely report it up the channels too, as this is the 2nd time and she should have learned after the first.
