Flexi Time

How on earth can a system be so out of sync?

For months now I have been recording my hours and accrued flexi time on a daily basis simply because there have been discrepancies.  I have no idea how this happens because we clock in each day as we arrive to work and again as we leave.

Every few weeks secretaries receive a list showing balances for employees in their department.  However this list no longer seems to be in circulation and so I have been checking my balance online on our intranet, which to be honest, is not updated regularly.

This morning I checked it and notice my holiday hours are correct but the flexi time is way more than I have calculated myself.  I've now contacted the individual who manages this and she has given me a new total which still doesn't match my hours, so I've sent her my total weekly hours for the past month so see if we can get to the bottom of it.

Do any of you work flexi?  How are you hours recorded?  Have you come across discrepancies similar to mine?

I would be interested to hear your feedback because I fail to see how an electronic system is getting it so wrong.

We record our own, but on a sheet that calculates it all for us.

I am doing that too Jackie.  You just input the hours and the Excel spreadsheet calculates the rest.

I note the hours I clock in, the hours I clock out, but this never seems to tally with out internal system - totally bizarre!

In a previous company we noted our own flexi and kept it in a file which the company secretary could request at any time to ensure we were adhering to the rules.

Prior to a scheduled meeting at 9am this morning, which I think will be cancelled, I am guessing the discrepancy is thus....

I am recording actual hours and minutes, whereas payroll are recording a percentage eg. if I work 37hrs 42 mins in a week which is 1hr 42 mins accrued flexi time, I record it as such.  However payroll record it as 37.70 or thereabouts, recording the minutes as a % and not the actual time worked/accrued.

In addition, payroll add accrued flexi at the end of each cycle, whereas I record it on a daily weekly basis.

My question is, which is correct?  Even though I am going by my own records, it means the company system is doing and recording something else.  So every time I get an update on my flexi balance, I am replacing my total with what payroll advise me.

Well the meeting happened early but I cannot understand how someone can get things so wrong?

In addition to clocking in, we have to complete time and attendance sheets every week with a code for annual leave, flexi or company business.  This is faxed to payroll on a Monday and updated on the system.

It seems (counting to 10 here), regardless of what details I put on the form, 2 days have been taken as annual leave and not flexi.  It's not a mistake because I had the paperwork to back it up, it's a complete mess!  How dare someone do the opposite of what I indicated, especially when it's not their annual leave or flexi to be messing with!

Can anyone get anything right??

About 4 years ago the company I worked for had flexitime in place. We would 'clock in' upon arriving at the building by scanning in a card and again upon leaving at night as well as lunchtimes in and out.

You were allowed 7 hours extra at the end of each month which was equal to one day.  Any over this 7 hours was written off.  You could take the 7 hours as one day off or two half days.

Upon clocking off each night, the machine showed your total so you knew how close you were getting to the 7 hours.  It was always right and I cannot remember having any problems.

That is a very similar system to ours except that we can accrue up to 8 hours flexi each month which gets added to our flexi bank if not used that month.  Anything over 8 hours is paid as overtime.  I can accrue quite a bit of flexi which is why I wanted to use it towards my time off as you can only carry so much annual leave at the end of the year.

It could be worse, I could be minus hours I suppose but that would not have been my mistake given the circumtances.
